Dear Mr. Reynolds,
Thank you for meeting with our team last Thursday to discuss the spring advertising campaign for Coastline Coffee. Following your feedback, I have revised our original proposal, and I am pleased to attach the updated version to this message1.
The most significant change concerns the budget. You expressed concern that our initial estimate exceeded the figure your board had approved2. We have therefore reduced the number of billboard locations from twelve to eight and shifted the remaining funds into social media3, which our data shows reaches your target customers more efficiently. The revised total now falls comfortably within your approved limit. I have included a simple table on the second page so that you can compare the two versions at a glance.
We have also adjusted the timeline. Rather than launching all materials simultaneously in March, we now recommend a phased rollout. The online components would go live first, on March 3, followed by print and outdoor advertisements two weeks later. This approach lets us monitor early responses and refine the message before the more expensive print run is committed.
One item still requires your input. The photographs for the campaign must be booked by the end of this month to secure our preferred studio4. Could you let me know by January 20 whether you wish to use professional models, as in previous years5, or feature your own staff, which several team members have suggested would feel more authentic?
I would be happy to walk you through the revised proposal in person. I am available most afternoons next week and can come to your office at whatever time suits you. Please simply reply with a couple of options and I will confirm.
We are excited about this campaign and confident it will strengthen Coastline Coffee's presence throughout the region.
Warm regards,
